Travel Reward Terms and Conditions

Shop Local Rewards LLC • shoplocalrewards.org • Version v2

1. What These Terms Cover

These Travel Reward Terms and Conditions ("Travel Terms") govern the premium travel rewards offered in the Shop Local Rewards Rewards Mall, including the Tennessee Family Getaway and A Trip of a Lifetime for Two (each, a "Travel Reward"). The program is operated by Shop Local Rewards LLC, a Louisiana limited liability company ("Shop Local Rewards," "we," "us," or "our").

You accept these Travel Terms when you redeem Reward Points for a Travel Reward. They apply in addition to the Terms and Conditions and the Privacy Policy published on the Platform. Where these Travel Terms and the general Terms and Conditions differ on a point specific to travel, these Travel Terms govern.

The description shown on a Travel Reward's Rewards Mall page summarizes the reward. These Travel Terms describe what is actually included, what is not, and what is required of you.

2. Redeeming a Travel Reward

A Travel Reward is redeemed by spending the stated number of Reward Points. The Reward Points are deducted once, at the moment you confirm your redemption on the review screen. Reward Points are earned through the program and are never purchased.

A Travel Reward is personal to the member who redeemed it. It may not be sold, auctioned, bartered, or transferred for value, and it has no cash value at any time.

A Trip of a Lifetime for Two is a trip to Bora Bora. One redemption is one trip for two. It cannot be exchanged for travel anywhere else.

After you redeem, we will contact you to begin arranging your travel. A Travel Reward is arranged directly with you; it is never shipped and never picked up.

3. Advance Booking Requirement

All travel must be requested and booked at least six (6) months before the first day of travel. Requests submitted with less than six months' notice cannot be accommodated.

Submitting travel dates is not a booking. Your travel is booked only when we confirm it to you in writing.

We recommend submitting more than one set of acceptable dates. Dates are not held or reserved for you while a request is being reviewed.

4. Blackout Dates

Travel is not available on blackout dates. Blackout dates are set per reward and are as follows:

  • Tennessee Family Getaway: the Thanksgiving and Christmas holiday periods.
  • A Trip of a Lifetime for Two (Bora Bora): June 15 through August 31, and December 15 through January 10.

Additional blackout dates may be imposed by an airline, hotel, resort, property owner, or other travel provider, and may change. Blackout dates applicable to your travel will be confirmed to you before your travel is booked.

5. Availability

Every Travel Reward is subject to availability. Availability depends on airlines, hotels, resorts, property owners, and other third-party travel providers, and is outside our control.

Dates that fall outside a blackout period are not for that reason guaranteed to be available. Peak periods, local events, and school holidays commonly sell out well beyond the six-month booking window.

If your requested dates are not available, we will work with you to identify alternative dates. A Travel Reward does not entitle you to a specific date, a specific flight, a specific room, or a specific property.

6. Comparable Substitutions

We may substitute a comparable property, accommodation, airline, routing, or experience where the one described is unavailable, is no longer operating, cannot be booked for your dates, or cannot be booked within the limits described in these Travel Terms.

A comparable substitution is one of a similar standard and character. Named properties and experiences in a Travel Reward description are examples of the standard offered, not a commitment to that specific property or experience, except where a description states otherwise.

A substitution is not a reduction in the Travel Reward and does not entitle you to cash, credit, or Reward Points.

7. Maximum Trip Value

A Trip of a Lifetime for Two has a maximum fulfillment value of $10,000 for the trip for two, inclusive of all components we arrange and pay for. This is a limit on what we will spend to fulfill the Travel Reward. It is not an amount payable to you, an account balance, a budget you may direct, or a figure you may apply to anything else.

Where the cost of fulfilling your chosen destination, dates, and itinerary would exceed $10,000, we will offer alternative dates, routings, or accommodations that can be fulfilled within that limit, or you may pay the difference directly. We are not obliged to fulfill any itinerary costing more than the maximum.

8. What Is Included

Tennessee Family Getaway:

  • Seven (7) nights at The Vieux at Tanner Manor or a comparable luxury Tennessee cabin, sleeping up to twenty (20) people.
  • A Dollywood day pass for up to twenty (20) people.

Travel to and from Tennessee is not included in the Tennessee Family Getaway.

A Trip of a Lifetime for Two, in Bora Bora:

  • Round-trip economy airfare for two (2) travelers.
  • Seven (7) nights of resort accommodations. The final night only is in an overwater bungalow; the remaining nights are in other resort accommodations.
  • Required destination transfers.
  • Required taxes and fees on the components listed above.

Nothing else is included. Anything not expressly listed above, or expressly listed on the Travel Reward's page, is your responsibility.

9. Optional Upgrades and Additions

You may arrange optional upgrades and additions at your own cost, subject to availability. These include upgraded airfare or cabin class, additional nights, room or property upgrades, excursions and activities, meal plans, travel insurance, and any other addition to the itinerary.

Upgrades and additions are paid for by you, directly to the provider or as we direct at the time of booking. They are not covered by the maximum trip value and do not increase it. We do not arrange, guarantee, or take responsibility for an upgrade or addition you purchase yourself.

10. Unused Value

A Travel Reward has no cash value. If your travel costs less than the maximum trip value, if you use fewer than the nights included, if you travel with fewer people than the Travel Reward allows, or if you decline any included component, the difference is not paid to you in any form.

No cash, no credit, no account balance, and no Reward Points are returned for any unused portion or unused value of a Travel Reward.

An unused component cannot be exchanged for a different component, applied to a future trip, or transferred to another person.

11. Passports, Visas, and Travel Documents

You and your travelling companion are responsible for obtaining and maintaining every document required for your travel, including a valid passport, any visa or entry authorization, any required health documentation, and any document required for transit through an intermediate country.

Requirements vary by destination and by nationality and can change. Check the requirements that apply to you well before your travel is booked, and confirm that every passport remains valid for the period your destination requires beyond your return date.

If you or your companion are denied boarding, denied entry, or unable to travel because a required document is missing, expired, or invalid, the Travel Reward is used and nothing is refunded, re-issued, or credited.

12. Travellers and Itinerary

A Trip of a Lifetime for Two is for two travelers. Both travelers must be named at the time of booking, must be at least eighteen (18) years of age unless accompanied by a parent or legal guardian who is also a named traveler, and must follow the booked itinerary, including the booked flights, dates, and accommodations.

Changing a named traveler after booking may not be possible, and where it is possible any airline, hotel, or provider charge for the change is payable by you.

A departure from the booked itinerary that has not been approved in advance -- including a missed flight, an unused segment, or an early departure from an accommodation -- is at your own cost and risk, and may end the remainder of the itinerary without refund.

The Tennessee Family Getaway sleeps up to twenty (20) people and includes a Dollywood day pass for up to twenty (20) people. The occupancy and pass limits are maximums, not guarantees, and the property's own occupancy rules apply.

13. Security Deposits, Incidentals, and Damage

Hotels, resorts, cabins, and other properties commonly require a security deposit, a credit-card authorization, or an incidental hold at check-in. That deposit, authorization, or hold is your responsibility, in full.

You supply your own credit card or other payment card directly to the property or provider. Shop Local Rewards never places its own card on file for a traveler's deposit, authorization, or incidentals, and will not do so on request.

You are responsible for all damage to a property, its contents, or its grounds caused by you, your travelling companion, or anyone in your party, and for any cleaning, repair, replacement, or administrative charge a property assesses for it. You are responsible for any charge a property or provider makes for a violation of its rules, for a fine or penalty imposed on you, and for any loss the property pursues against you.

These amounts are settled between you and the property or provider directly. We are not a party to them, do not advance them, and do not reimburse them.

14. Costs Not Included

Except for the components expressly listed in section 8, all costs of your travel are yours. These include, without limitation:

  • Cleaning fees, damage charges, repair and replacement charges, and resort or property fees not expressly included.
  • Room charges, minibar, in-room purchases, and room service.
  • All food and drink, except where a specific meal is expressly listed as included.
  • Excursions, activities, tours, entrance fees, equipment rental, and spa services.
  • Ground transportation beyond the transfers expressly listed, including rental cars, fuel, parking, tolls, and taxis.
  • Baggage fees, seat-selection fees, airline change and cancellation fees, and excess or overweight baggage charges.
  • Gratuities to any driver, guide, housekeeper, porter, or member of staff.
  • Passport and visa fees, travel insurance, vaccinations, medical care, and prescription costs.
  • Personal purchases, souvenirs, telephone, internet and laundry charges.
  • Fines, penalties, and any charge arising from a violation of a provider's rules or of local law.

15. Conduct, Cancellations, Changes, and Disruptions

15.1 Guest Conduct and Provider Rules

You and everyone in your party must comply with the rules, policies, and conditions of every airline, hotel, resort, property, and provider involved in your travel, and with all applicable law.

A provider may refuse service, refuse entry, or remove a guest for a breach of its rules. Where that happens, the Travel Reward is used, the remainder of the itinerary may end, and nothing is refunded, re-issued, or credited.

15.2 Cancellation by You

Once your travel is booked, cancellation is governed by the cancellation policy of each airline, hotel, resort, property, and provider involved. Many of these are non-refundable.

If you cancel, the Travel Reward is used. Reward Points are not returned, and no cash, credit, or replacement reward is issued. Any provider cancellation charge is payable by you.

We strongly recommend travel insurance, which you may purchase at your own cost.

15.3 Changes After Booking

A change to a booked itinerary is subject to availability and to the rules of each provider. Any airline, hotel, or provider change fee, and any increase in the cost of the itinerary, is payable by you.

A change that would take the total cost of fulfillment above the maximum trip value will not be made unless you pay the difference.

A Trip of a Lifetime for Two is a trip to Bora Bora and cannot be exchanged for travel to a different destination.

15.4 Cancellation or Change by a Provider, and Disruptions

Weather, natural events, airline schedule changes, delays, cancellations, overbooking, mechanical problems, strikes and labor action, civil disruption, government action, border or entry restrictions, public-health measures, and the closure or failure of a property or provider are outside our control.

Where a provider cancels or changes a component of your travel, the provider's own policy governs, including any refund, re-booking, or compensation it offers. We will assist you in working with the provider. We do not indemnify you for a disruption, and we are not liable for a cost you incur because of one, including missed connections, additional accommodation, meals, or a missed event.

If a component becomes unavailable before travel, section 6 (Comparable Substitutions) applies.

16. Third-Party Providers, Limitation, and Changes to These Terms

Airlines, hotels, resorts, property owners, tour operators, and other travel providers are independent third parties. They are not our agents, employees, or partners, and we do not control them. Your use of their services is governed by their own terms, which you accept when you travel.

To the fullest extent permitted by law, we are not liable for the acts, omissions, negligence, insolvency, or failure of any travel provider, or for any injury, illness, death, loss, delay, damage to or loss of property, or other harm arising out of your travel. Our total liability in connection with a Travel Reward will not exceed the value of the components we had agreed to arrange for it.

Nothing in these Travel Terms limits liability that cannot be limited under applicable law.

We may change these Travel Terms. The version in force at the time you redeemed governs your Travel Reward, and the version you accepted is recorded with your redemption.

These Travel Terms are governed by the laws of the State of Louisiana, without regard to its conflict-of-laws rules.
